Preparing for AI (e.g. Microsoft Copilot for 365)

Is my data READY for AI (Copilot)?  Will the LLM be using reliable data and giving useful insight, or will it be crippled by poorly curated, inaccurate and incomplete content? 

What is at stake?  Your AI investment relies on your Copilot AI work requests to generate quality output.  But garbage in = garbage out.   So .. Is YOUR data & documents WORTHY to be treated as being a collection of VALUABLE information assets?

How much trust can you place in your content?  Is it reliable, and correct?  Is your business team working with the right information or are they duplicating efforts and recreating work product, and if they do recreate work product, is it at the required standard?

  1. How much value do you place on your information assets? Do you recognize the need to be able to find content rapidly?  What inhibits this – for example duplicate and obsolete copies?  Multiple locations with conflicting versions in them?  How can you, or your LLM,  identify and disregard poor quality, and/or old, or incomplete content?
  2. How will an LLM be able to cope with this to provide accurate answers (i.e. will duplicate content in overlapping locations cause LLM inaccuracy and hallucination?)
  3. Protect key assets – who should, and shouldn’t have access –internal and external? All data is available to the LLM based on the user’s access rights – is ALL that data appropriate?
  4. Have your established and enforced clear policies and procedures for creating, storing, accessing, sharing, and disposing of their data. Organisations should also assign roles and responsibilities for data owners, stewards, and users, and monitor and audit their data activities and performance.
  5. How much content is shared and not accessed? Does this reveal productivity opportunities for better collaboration?  Is your data tagged and categorized so that it can be identified more easily when needed?

The reality of almost all organisations is that they are dynamic, and fast paced.  Workers move rapidly between tasks, so they save content quickly and often inconsistently.  Finding files can be hard, and finding the latest, most relevant copies can be harder.  If it is challenging for a person, then its harder for AI.  Is your data ready for AI?
